September 21st Meeting

==Details==

‘’‘Where’‘’: Andru Edwards’ Place ([http://maps.google.com/maps?q=9202+Densmore+Ave+N,+98103&spn=0.020361,0.035062&hl=en map])

‘’‘What Time’‘’: 7 pm

==Agenda==

* Put together a plan for finalizing the location
* Discuss possible change of dates

==Meeting Notes==
‘’‘In attendance’‘’: Brian Dorsey, Brian Rice, Andru Edwards, Stuart Maxwell

Stuart’s Raw Notes for Sep 21

===Decided On===
* ‘’‘Registration’‘’:  We’ll use Mollyguard to track registrations.  This will be an internal tool only.  Externally, potential Mind Campers should send an email to register@seattlemind.com.  The email should contain name, affiliation, two things you are excited about and want to talk about and one thing you want to learn about.
* ‘’‘Date’‘’:  Andru will poll the list to see which works better:  October 29th/30th or November 5th/6th.
* Refined Invitation Logistics

===Discussion===
* Insurance:  Ponzi sent an email to the list regarding this.  Andru has asked if Ponzi would consider taking charge of this for us.
* Food:
** Andru asked Brady if we could use the same service that MSN is going use to provide dinner; we would pay for breakfast & lunch; Brady will check & get back to us
** Lunch if we got it from another caterer would be around $10/person with utensils & napkins, $6/person without
** We could possibly self-cater breakfast with a Costco run.
** Coffee.    Stuart will check w/ Starbucks
* Date:  We’d like to accommodate our sponsors, but finding a date that works for everyone might be tough.
* Invitations/Registration:  Two phases.  In the first phase, we should invite people by phone or in person so that they get the message (cuts through the email noise); also, they’ll get that this is a cool thing.  We’ll ask that person to email their registration (see Invitation Logistics).  Once we have 50 people, we’ll open up the registration to everyone (publicize via blog, etc.)
** For legal & liability purposes, no one under 18 will be admitted.
** If people show up who haven’t registered, we can ask them to wait until we see how many no-shows we have.  The person in charge of registration can make a judgement call about letting them in or not.
* Wranglers:  We may need to designate people to keep an eye out for traffic, things getting out of hand, etc.; these folks could move groups around or direct traffic as necessary.
* There was a recommendation that we form a 501(c)3 company.  This isn’t necessary and we won’t be doing that.  Gear Live Media will be the umbrella entity for now.
* Andru suggested that at some point down the road we consider forming a kind of Board of Directors to plan and execute future Mind Camps.
